This policy explains what personal information we collect, why we collect it, who we share it with and how you can see or correct it.

1. About This Policy

This policy applies to Optex Solar Pty Ltd (ABN 88 128 228 884), trading as EcoOnline ("we", "us" and "our"). It covers personal information we collect through www.ecoonline.com.au, by email and phone, and when you buy from us, including through eBay.

We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

2. Information We Collect

What we collect depends on how you deal with us. It may include:

  • Contact and order details: your name, email address, phone number, delivery and billing addresses, the products you buy and your order history.
  • Account details: if you create an account, your login email and password. Passwords are stored in encrypted form by our store platform, and we cannot see them.
  • Payment details: confirmation that you have paid, the payment method and a transaction reference. Card and PayPal payments are handled by our payment providers, and we never see your full card number. For bank deposits, we see the name and reference shown on our bank statement.
  • Advice and support details: information about your pool, roof, location and equipment, and any photos you send us, so we can help with sizing, installation and warranty claims.
  • Messages: your emails, questions sent from our sizing calculator, and notes of phone calls.
  • Website use: your IP address, browser and device type, the pages you visit and how you found our website (see section 7).

We do not ask for sensitive information, such as health information. Please do not send it to us.

The delivery estimate on our product pages works out the delivery time in your browser. The postcode you enter is saved on your own device and is not sent to us.

3. How We Collect It

  • From you, when you place an order, create an account, email or phone us, send a question from our sizing calculator, or send us a review.
  • Automatically, through cookies and similar technology when you use our website.
  • From others: our payment providers confirm your payment, couriers update us on deliveries, and marketplaces such as eBay pass on your name, delivery address, phone number and order details when you buy from us there.

You can browse our website and ask general questions without telling us who you are. To buy from us, get advice about your own pool or make a warranty claim, we need your name and contact details.

4. How We Use It

We use personal information to:

  • process, deliver and support your order, including returns and warranty claims
  • take payment and prevent fraud
  • give sizing advice and technical support, and answer your questions
  • keep business, tax and warranty records
  • keep our website secure and understand how it is used, so we can improve it
  • publish reviews you send us, showing only your first name and general location (such as "Sydney, NSW")
  • send marketing emails, if you have agreed to receive them (see section 8)
  • meet our legal obligations.

We only use your information for other purposes if you agree, or if the law allows or requires it. If you do not give us the information we need, we may not be able to process your order or help you.

5. Who We Share It With

We share personal information only as needed with:

  • BigCommerce, which runs our online store and holds our customer and order records
  • payment providers such as PayPal, to process payments and refunds
  • couriers, who receive your name, address, phone number and delivery instructions
  • product manufacturers, when needed to handle a warranty claim
  • Google, which provides our website analytics, spam protection on forms (reCAPTCHA) and web fonts, and helps us measure our Google ads
  • Cloudflare, which protects our website and helps deliver it quickly
  • SpreadsheetConverter (Framtidsforum I&M AB, Sweden), which runs the "Submit to Ask a Question" form in our sizing calculator. If you use it, your name, email address, mobile number, question and calculator entries pass through their service to our email inbox.
  • our email, IT and accounting providers and professional advisers, such as our accountant
  • government agencies and others, when the law requires it.

We do not sell, rent or trade your personal information.

6. Information Stored Overseas

Some of these providers store or process information outside Australia. The countries most likely involved are the United States (BigCommerce, Google, Cloudflare and PayPal) and Sweden (SpreadsheetConverter). These providers may also use other countries. We use well-established providers that run their own privacy and security programs.

7. Cookies and Analytics

Cookies are small files stored by your browser. We use them to:

  • make the website work, for example to remember your cart and keep you logged in
  • protect the website from spam and attacks (Cloudflare and Google reCAPTCHA)
  • understand how visitors use the website (Google Analytics).

Google Analytics shows us things like which pages are popular and how visitors find us. It uses cookies and collects your IP address, device and browser details and the pages you view. Google handles this information under its own policies; see How Google uses information from sites or apps that use its services.

You can block or delete cookies in your browser settings, but some parts of the website, such as the cart, may then stop working. You can stop Google Analytics recording your visits with the Google Analytics opt-out browser add-on.

8. Marketing Emails

We only send marketing emails if you have agreed to receive them. Every marketing email includes an unsubscribe link, and you can also ask us to stop at any time.

Emails about your order, such as order confirmations and delivery updates, are not marketing, so we will still send them.

9. Security and Storage

We take reasonable steps to protect personal information from misuse, loss and unauthorised access. Our online store runs on BigCommerce, which is certified to the payment card industry security standard (PCI DSS), and our website uses encrypted (HTTPS) connections. Only people who need your information for their work can access it.

We keep order and warranty records for as long as we need them for warranty, tax and legal purposes. Tax law requires us to keep business records for at least five years. After that, we delete or de-identify information we no longer need.

If a data breach is likely to cause you serious harm, we will tell you and, where required, the Office of the Australian Information Commissioner (OAIC).

10. Access and Correction

You can ask for a copy of the personal information we hold about you, or ask us to correct it, by contacting us (see section 12). If you have an account, you can also update your details by logging in.

We will respond within 30 days, and there is no charge. If we cannot give you access or make a correction, we will tell you why in writing.

11. Complaints

If you think we have mishandled your personal information, please contact us first (see section 12) and tell us what happened. We will look into it and respond within 30 days.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) on 1300 363 992.

12. Changes and Contact

We may update this policy from time to time. The current version is always on this page, with the date it was last updated.
